Channel manager: two-way connection or iCal? How to choose for your hotel

iCal sync is free but slow and one-dimensional; a two-way channel manager pushes rates and restrictions and pulls bookings in seconds. When each is enough, and what it costs in overbookings.

Two very different pipes

iCal is a calendar file each side reads periodically. It says which dates are blocked, nothing more: no price, no room type detail, no guest data. OTAs refresh it on their own schedule, often every 30 minutes to a few hours.

A two-way channel manager talks to each OTA through its API. It pushes availability, rates and restrictions (minimum stay, closed to arrival) and receives bookings, modifications and cancellations within seconds.

When iCal is enough

A guesthouse with 3 to 8 units, two channels and low booking velocity rarely gets hurt by a 30-minute delay. If you receive a handful of bookings per week, iCal plus a daily look at the planner is fine.

When it is not

The risk of an overbooking grows with booking velocity, not with hotel size alone. Rough rule: if you get more than a couple of OTA bookings per day on the same room types, or you change prices more than once a week, you need a two-way connection. One walked guest, the relocation, the taxi and the review, costs more than a year of subscription.

What to check before you subscribe

  • ●Certified connections to the OTAs you actually sell on.
  • ●Room type mapping that matches how you sell, not how the OTA names rooms.
  • ●Restrictions pushed from one place. Setting minimum stay separately on each OTA extranet is where errors start.
  • ●Who is the source of truth. Availability should live in the PMS; the channel manager distributes it.

Large hotels and groups

For properties with many room types and several rate plans per channel, the channel manager is part of the revenue system. Make sure rate plans in the PMS map one to one to what each OTA sells, and that group blocks and allotments are deducted from availability before it is pushed out. See group blocks vs allotments.

In FrontDesk

FrontDesk supports both: free iCal import and export, and a two-way connection through Channex, a certified channel manager you subscribe to separately. Availability and rates stay in FrontDesk; bookings from the OTAs land in the planner on their own.
