"Our PMS is in the cloud, why do we still close the day?"
It is a fair question. Cloud systems update in real time, so the old reason for the night audit, batch processing on a server in the back office, is gone. The real reasons remain:
- A business date. Revenue has to belong to a day. A guest who pays at 00:40 after a late dinner is part of yesterday's business, not today's. Closing the day draws that line.
- A moment when the numbers stop moving. Occupancy at 16:00 and at 23:00 are different numbers. Management reports need one number per day that nobody can change afterwards.
- A daily hunt for leaks. Most revenue lost in a hotel is not stolen. It is forgotten: a minibar charge never posted, a late checkout never billed, a no-show never charged.
What gets checked
- ●Every arrival is checked in or marked as a no-show.
- ●Every departure is checked out, and any open balance is visible.
- ●Room charges and city tax are posted to every in-house folio.
- ●Payments match the card terminal and the cash drawer.
- ●Room status in the system matches housekeeping's report.
The full list, with a downloadable template, is in the night audit checklist.
Where the money hides
In a 60-room hotel at 75% occupancy, one missed extra per day at an average of 12 per charge is roughly 4,400 a year. One unbilled no-show per week at a 110 rate is another 5,700. Neither shows up in any report unless someone looks every night.
What changed with cloud PMSs
The audit used to take a night auditor two hours. With automatic room and tax posting, most of it becomes a review of exceptions: the system lists what does not add up and a human decides. In many hotels it now takes 15 minutes and is done by the late receptionist, not a dedicated role.
What should never be automated
Charging a no-show, writing off a balance and changing a posted rate are decisions. A good system proposes them and leaves an audit trail of who approved what.
